Project Document Controller

Role Overview Provide BMS Document Control and Document Management services in support the company wide project to simplify and drive the adoption of the new Oil BMS. During the last couple of years, our client has put in place a comprehensive BMS - comprised of policies, standards and procedures - to organise and control the business activities of the company. A recent company review has established that while the BMS is comprehensive, it does not yet fully shape the operating rhythm of the company. In particular, the volume of documentation is too high. Consequently the objective of the project is to simplify and drive the adoption of the BMS across the company. The improved BMS will underpin the future growth by: • Creating simpler and more consistent ways of working; • Enabling best practices to be transferred more effectively; • Helping enter new areas, integrate acquired assets and absorb new staff as the company grows; • Meeting regulatory and other stakeholder expectations; The role of the BMS Improvement Document Controller is to support this improvement project as a member of the wider UK Document Control team but with responsibility for supporting the BMS project. This role provides a good opportunity for an experienced Document Controller to be part of a material business transformation project, get experience working in the company's Head Office and exposure to a broad range of functional disciplines. The role will also provide an opportunity for the incumbent to take on further project delivery tasks that are integral to the success of the project and suited to their development aspirations. Key Accountabilities and Responsibilities 1 Provide BMS Document Control and Document Management services on behalf of, and as part of, the BMS improvement project team. 2 Focal point for the document control of new or revised BMS documentation emerging through the project. Advise BMS document authors on document templates, numbering, and review/approval processes. 3 Review and manage new or revised BMS documents emerging through the project to ensure continued integrity and confidence in the control of the BMS documentation and of the simplified BMS as a whole. 4 Proactively identify and help implement further opportunities for BMS simplification related to the control of the documentation. 5 Work with the Enterprise Architecture and Information Services functions to enhance the underlying BMS platform to ensure it supports a simplified BMS and promotes adoption. 6 Help run an awareness programme across the whole company to drive the adoption and ownership of the improved BMS. 7 Help implement suitable control measures to ensure the BMS improvements made during the project endure after project completion. 8 Liaise closely with BU Document Controllers throughout the company. 9 Assist where necessary non-project areas with Document Control duties as part of the wider UK document control team. 10 Conduct BMS project administrative duties as required. Major Challenges • Conducting detailed tasks promptly and robustly in order to preserve the integrity and confidence in the control BMS. • Handling multiple requests from multiple stakeholders in a professional and reliable manner. • Striving to achieve a suitably consistent and robust approach across multiple functions and business areas. Candidate Profile • Extensive Document Control and Document Management experience, preferably in an oil and gas environment. • Experience in authoring, reviewing and updating policies, standards or procedures. Attributes and behaviours • Well organised with ability to perform multiple detailed tasks in a proactive, prioritised and reliable manner. • Able to identify problems and issues, and take action to resolve or make recommendations to do so. • Able to communicate effectively with colleagues including managers, document owners and other document controllers. • Would enjoy working in a dynamic project-based environment. Knowledge • Expert in Document Control and Document Management systems and processes. • Understanding of the role of management systems (and their underlying policies, standards and procedures) and what makes them effective. • Working knowledge of Sharepoint. • Understanding of the technical and operational aspects of the oil and gas business. Additional Role Requirements • Contract role. • Preference to be predominantly London-based, at least through the initial phase of the project, with travel to BU locations as needed. • Available to make a high utilisation commitment, at least through 2019 and a moderate commitment in 2020 pending project demands. The BMS project is expected to last 18-24 months.
